Annual Canvass

Every Autumn each Electoral Registration Officer has a duty to make sure the details they are holding are up to date.  This is done by sending a registration form to every residential property within the Borough, initial forms will be sent out mid August.
 
If we do not receive a form back a reminder will be sent out by mid September.
 
By the beginning of October if we still have not received a form, householders will receive a personal visit during the first 2/3 weeks of the month.
 
The qualifying date for information is 15th October.  You need to complete the form for the property you are living in on that day.
 
The revised Register is published on 1st December each year and is on display at Dudley Council Plus, Castle Street, Dudley.  Residents of the Borough are then able to check that they are correctly included on the Register.
 
Rolling Registration then begins, if someone moves during the currency of the register 1st December – 30th November each year they can easily register for the new address, see Registering to Vote.
 

 

The two versions of the Register – ‘opt out’ explained

 
The electoral registration officer makes and keeps two versions of the voters list – a full version and an edited version.
 
 
The full register lists the name and address of everyone who is registered to vote.   The council holds a copy.  Anyone can look at it, but it is a criminal offence to supply or use copies for purposes other than those set down in law.  More information is available at about my vote.  The main use of the full register is to show who can vote in elections and referendums.  Credit reference agencies can use it, but only to check your name and address if you are applying for credit and for other purposes specified in law.  It can also be used for law enforcement.
 
The  edited voters list is available for general sale and can be used for any purpose.  The edited register can be bought by any person, company or organisation and can be used for commercial activities such as marketing.  If you want to opt out of having your details appear on the edited register, please tick the ‘Edited Register’ box.  You must also ask each person named on the form if they want to opt out of the edited register.
 


Data Protection Statement

 
The purpose for collecting your personal details on these forms is to enable us to add your name to the register of electors.  The Council will store your details securely and confidentially within the Electoral Services system.  Access to the information you provide will be on a strictly need to know basis and the information will be retained for as long as you appear on the Register of Electors or as appropriate according to Electoral Legislation, before being securely disposed of/deleted from our systems.  This information may be shared externally with other organisations or partners for example other local authorities, credit reference agencies and other organisations involved in the detection and prevention of crime.
