Public Health Engagement Activities Privacy Notice

We intend (or will) to collect all or some of the following details depending on the purpose of the engagement activity. Further information on exactly what is required will be communicated at the time the activity commences.

  • Name
  • Contact details including postal/email address and telephone number
  • Demographic information such as age, gender, ethnicity and disability.
  • Correspondence (including emails, social media posts)
  • Photographs, quotes and case studies/ stories

We will only collect information that is relevant and required.

Who uses this information?

Health and Wellbeing Division (Public Health team).

Why do we use this information?

We use this information about you to:

  • Communicate with you in formats (e.g. email, email newsletter, telephone, text message, printed mail-out) you have consented to receive and about subjects that you have consented to hear about
  • Communicate with you on social media in line with the terms and conditions of those social media sites

With your consent we use photographs, quotes and case studies/ stories, to support the findings of the engagement activities through social media, websites, email newsletters and electronic/printed materials.

We will not publish details or full names (i.e. first name and surname) of you next to an image, quote or case study/ story without your consent.

What is the legal basis for processing your personal information?

You or your legal representative have given consent.

Who are we likely to share this information with?

Within Dudley Council:

Information will be shared with other Dudley Council departments for the purposes of: collection and analysis of data, to produce reports or marketing materials, to support the development or improvement of Dudley Council services and activities.

How do we keep this information secure?

  • Electronic information is stored securely on databases, systems or internal drives.
  • Paper information is in locked storage.

Only relevant staff have access to this information.

How long do we keep this information?

Data you share with us on social media is stored on those social media sites. You are advised to check the privacy notices or terms and conditions of your social media sites for more information.

Information you voluntarily supply to us in order for us to communicate with you will be kept until:

  • The matter about which we are communicating with you concludes, expires or ceases to be relevant, or
  • You ask us to stop communicating with you

Any photographs, quotes, and case studies/ stories which you have consented for us to use, will be stored on our internal servers until the matter about which we are communicating with you concludes, expires or ceases. You can request that your photograph, quote or case study/ story is deleted at any point before this time.

Photographs, quotes or case studies/ stories used on social media, other digital platforms and in printed materials are deemed ‘published’ and in the public domain. Where reasonable and practical we will endeavour to delete such published personal information on request, however we cannot be responsible for any copies of the material created by subsequent sharing by a third party.

 

What are your rights?

You have the right to request Public Health to stop processing your personal data in relation to engagement activities by emailing healthycommunities@dudley.gov.uk or calling 01384 816221.
