Policies and procedures for the booking, attendance and cancellation of all Early Years and Childcare courses, including forums, networks and meetings.
Attendance policy
Training events start promptly at the advertised start time, so please ensure you arrive in plenty of time and that you have booked onto the event in advance.
All course places must be pre-booked. Please be aware that if you attend training without booking and your name is not on the register, unfortunately you will be asked to leave the course and to book a place on another course date. If you are attending in place of another colleague you must amend the booking details with the training team at least 24 hours in advance of the course start date.
Some courses include a pre-course task, which are identified by a pre-course task symbol when advertised. The tasks will be emailed to you approximately one month prior to the training date along with your confirmation letter. Please complete any pre-course tasks prior to commencing the course.
Please ensure you are equipped with stationery (pen, pencil, paper, etc) for use in any group exercises and note taking.
Due to the practical nature of some of our courses, such as paediatric first aid, we recommend wearing comfortable trousers/clothing and suitable footwear.
When attending paediatric first aid training, all sessions must be completed to qualify for certification. It is also a requirement for the practical activities to get on the floor to show competency in the practical assessments of CPR and the recovery position. Please contact the Childcare Workforce Officer if you need to discuss this further.
For Blended Paediatric First Aid training, the e-learning modules must be completed in full before attending the face to face part of the training.
If you are booked to attend a food safety course, please ensure you bring photographic identification with you - this could be a passport, driving licence or work ID. Regrettably, you will not be able to sit the exam without this.
Our trainers will expect that you will:
be punctual. It is important that our courses start on time so they can finish on time and cover all the content of the session. You are expected to be punctual unless there are extenuating circumstances. If you anticipate arriving late or leaving early please contact our training team on 01384 814364, who will forward a message to the trainer.
be satisfied that you have booked on to the correct course
sign the register to confirm your attendance
conduct yourself in a reasonable and courteous manner
objectively listen and respect others and the subject matter
create a safe environment demonstrating confidentiality
complete an evaluation form; these are important for the trainer to evaluate their training provision
switch your phone onto silent/vibrate and only use it in an emergency, in which case please leave the room
not smoke on the premises. Smoking is only permitted off the premises.

Bookings are no longer taken by phone
All courses must be pre-booked
Please do not send payment with your booking. Approximately four weeks prior to commencing your course, you will receive an email/letter of confirmation. An invoice is then raised 10 working days before the course start date. This will be highlighted on the confirmation letter. You will then have 21 days to pay.
Places are limited so we recommend that you book on courses as soon as possible.
Should the course be full, we will contact you by phone/email to offer an alternative date, if available, or place your name on the waiting list.
If you have not received written confirmation two weeks before the course date, please contact the training team to check if a place has been allocated as non-attendance will be charged.
It is the responsibility of the setting to ensure that all staff members are aware of the courses that they are booked onto and sufficient cover has been arranged.
Courses with certificates will not be issued until full payment has been received.
Places on courses are limited to two per setting, unless stated otherwise. More names can be added to the waiting list and if the course is not full nearer the course start date, additional places can then be offered.
If you can not attend the training please remember to cancel your booking. If you do not notify us of any cancellations 10 working days or more before the event you will be charged the full training fee for that course.

A number of our training courses become fully booked very quickly and we appreciate how frustrating this can be. When courses are over-subscribed the training administrator will offer you either an alternative date if available or put your name on a waiting list. It is important that your name is on the waiting list as we regularly review these. If there is a large level of demand for a particular course we will try to arrange additional training dates, budgets permitting.
Cancellation policy
Many of our courses are oversubscribed and late cancellation or non-attendance is a wasted opportunity for people on the waiting list. Furthermore, training fees are expensive and trainers and venues will charge us if a course is cancelled without two weeks’ notice.
Cancellations and/or transfers with more than 10 working days notice will incur no cost.
All course cancellations must be made in writing by email to the training team.
Telephone cancellations will not be accepted.
Cancellations and/or transfers with less than 10 working days notice or non attendance will result in the full course cost being incurred irrespective of the circumstances.
Invoices will be raised 10 working days prior to the course start date. This is known as the chargeable period. Invoice dates will be shown on your training confirmation letter per course.
Settings may send another staff member if the original delegate is unable to attend for any reason (e.g. sickness) with no additional charge. The course booking must be amended with new delegate details with at least 24 hours notice of the course start date.
Please email us of any changes to enable us to amend registers and certificates (where applicable) and to keep our records accurate.
You are requested to pay all training fees before attending the course
Please be aware that in the event where course fees have not been paid after 3 months of attending the training course and there are outstanding fees owed, unfortunately you will not be permitted to book any further training events until the debit is cleared.
