Dudley Council is committed to protecting the privacy and confidentiality of all meeting participants and meeting content, while supporting inclusivity and reasonable adjustments for those with disabilities. Meeting participants are reminded that:

  1. The use of AI tools for transcription or other similar purposes when attending any Council organisation Teams meeting, must be explicitly approved by the meeting organiser. Reasonable adjustments for accessibility will be accommodated upon request and agreement by all participants. Participants requiring AI tools as a reasonable adjustment must inform the meeting organiser in advance to ensure compliance with data protection and confidentiality requirements. There may also need to be some technology adjustments to enable your AI tool to work properly.
  2. Unauthorised use of AI tools that process, record or transcribe meeting content may constitute a potential data breach.
  3. By joining any meeting organised by the Council, you agree not to introduce unauthorised third-party tools or share meeting content with any external system, individual, or entity without proper consent.

Failure to comply with this may lead to disciplinary action, reporting to relevant authorities, or other legal consequences.
